As our business continues to grow, we are seeking an experienced Office Manager to oversee the day-to-day operations of our Perth office while coordinating key business functions delivered through our established operational teams in India.

About the Role

This is a senior administrative management position responsible for planning, organising and coordinating the administrative operations of our Perth office while ensuring seamless communication and workflow between our Australian business and our offshore teams.

Our Perth office coordinates several critical business functions undertaken by our teams in India, including:

  1. Procurement and sourcing of specialist appliance components and refurbishment parts from suppliers across India.
  2. Coordination with our dedicated software development team responsible for maintaining and enhancing our proprietary inventory management and business systems.
  3. Oversight of our offshore customer service and booking team providing extended-hours support to Australian customers.

The successful applicant will play a key role in ensuring these functions operate efficiently and remain aligned with the operational requirements of our Perth business.

Key Responsibilities

  1. Plan, organise and coordinate the day-to-day administrative operations of the Perth office.
  2. Develop, implement and review office administration systems, policies and procedures.
  3. Supervise and support administrative staff and allocate office resources effectively.
  4. Coordinate workflow and communication between the Perth office and offshore operational teams.
  5. Conduct regular meetings with offshore team leaders to monitor productivity, project delivery and service standards.
  6. Coordinate administrative support for procurement activities involving Indian suppliers and ensure documentation is accurate and completed within required timeframes.
  7. Liaise with software development team leaders regarding system improvements, implementation schedules and operational priorities.
  8. Monitor the performance of the offshore customer service and booking teams to ensure service levels meet company expectations.
  9. Prepare management reports, operational documentation and business performance information.
  10. Manage office budgets, purchasing, facilities, equipment and supplier relationships.
  11. Maintain business records and ensure compliance with company policies and Australian regulatory requirements.
  12. Assist with recruitment, onboarding, staff scheduling and performance management of administrative employees.
  13. Identify opportunities to improve administrative efficiency and business processes across both Australian and offshore operations.

Skills and Experience

To be successful in this position you will possess:

  1. A Diploma or higher qualification in Business, Management, Business Administration or a related field, or equivalent relevant experience.
  2. Demonstrated experience as an Office Manager or in a comparable administrative management position.
  3. Experience supervising administrative employees and coordinating multiple operational functions.
  4. Strong organisational, communication and leadership skills.
  5. Excellent written and verbal English communication.
  6. High-level proficiency in Microsoft Office and business management software.
  7. Ability to manage multiple priorities and work across international teams and time zones.
  8. Experience coordinating offshore operations, international suppliers or remote business teams will be highly regarded.
  9. Previous experience working with businesses operating in India, including an understanding of Indian supplier management, business practices and cross-cultural communication, is highly desirable due to the company's established operational structure and ongoing coordination requirements.
